Legal Operations Specialist Role:
The Legal Operations Specialist will be responsible for overseeing the management of a large volume of legal files and collection cases, as well as handling various administrative tasks related to contract management
Legal File Management
Oversee the management and organization of legal files, ensuring proper documentation and timely updates.
Maintain accurate and up-to-date records of legal case progress, including key deadlines, meetings, and document submissions
Ensure that all legal files comply with internal procedures and relevant legal regulations.
Collection Case Management
Supervise and manage a high volume of collection cases, ensuring timely follow-up actions and tracking each cases status
Coordinate with legal teams, external agencies, and vendors to handle collections and repossessions effectively and efficiently
Analyze and report on collection case trends, providing recommendations to enhance collection processes and success rates
Administrative Operations
Provide general administrative support to the legal and contract management teams, including scheduling meetings, preparing documents, and maintaining databases.
Assist with the preparation and review of contracts, ensuring all required documents are complete and accurate
Prepare and distribute internal and external correspondence related to legal and collection matters
Compliance & Documentation
Ensure all legal and collection processes adhere to company policies, legal regulations, and industry standards
Review and monitor all documentation for accuracy, completeness, and compliance with contractual obligations.
Reporting & Analysis
Prepare and present regular reports on the status of legal files and collection cases, highlighting trends, challenges, and progress
Work with senior management to develop strategies for improving case outcomes, operational efficiency, and resource allocation
Team Leadership and Collaboration
Lead and supervise a team of legal and administrative professionals, ensuring consistent performance and adherence to processes.
Collaborate with other teams, including legal, finance, and customer service, to resolve issues related to collections and contracts
Provide guidance, training, and mentorship to junior staff on file management, collections, and operational tasks
Process Improvement
Identify areas for improvement in legal file and collections management and recommend strategies to streamline processes, improve efficiency, and reduce operational risks.
Stay informed about industry best practices, legal trends, and technological advancements in legal case management and operations.
Legal Operations Specialist Background Profile:
Bachelors degree in Business Administration, Legal Studies, or a related field preferred
experience in operations management, legal file management, collection cases, or related administrative tasks, ideally within a contract management or legal services environment
Proven leadership and team management skills.
Excellent organizational and time management abilities.
Detail-oriented with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
Strong communication skills, both written and verbal.
Ability to work under pressure and meet deadlines.
Advanced in MS Office Suite (Word, Excel, Outlook) and legal case management software
