Our client located in Houston, TX is seeking a detail-oriented and proactive Operations Team Administrator to provide high-level administrative support to their Commercial Operations group. This is a direct hire opportunity.

Operations Team Administrator Role:
Operations Team Administrator is central to keeping projects and processes running smoothly.
Responsible for coordinating documentation, managing records, and supporting day-to-day operations.
Serve as a key connection point for internal teams and external partners, ensuring accuracy, timeliness, and clear communication across the board.
Coordinate business travel and prepare expense submissions, ensuring accuracy and timely reimbursement.
Schedule and organize meetings, conferences, and team events.
Maintain customer and vendor information in internal systems.
Prepare reports and presentations by gathering and organizing data from multiple sources.
Create and process purchase orders, track vendor invoices, and support reconciliation of accounts.
Liaise between operations, finance, and management teams to keep workflows moving.
Update and maintain records, certifications, and compliance documents across systems.
Support safety initiatives by maintaining schedules, recording meeting minutes, and organizing activities.
Capture minutes during weekly team meetings and distribute summaries to participants.
Assist with audits by maintaining proper documentation and records.
Provide reception or general administrative support as needed.
Contribute to special projects or other assignments that keep the team operating effectively.
Operations Team Administrator Background Profile:
High school diploma or equivalent required
4+ years in an administrative, coordination, or team support role
Experience with booking international travel and expense reports
High school diploma or equivalent required
Strong organizational and time management abilities
Comfort with Microsoft Word, Excel, and PowerPoint
Solid attention to detail and ability to manage multiple priorities
Strong communication skills, both written and verbal
Ability to work independently with minimal direction while supporting a collaborative team
Professional, resourceful, and committed to accuracy and follow-through
