Position: Office Administrator
We are looking for a proactive and detail-oriented Office Administrator to enhance daily operations, marketing strategies, client communications, and overall business productivity. This role is crucial in managing databases, coordinating client interactions, overseeing administrative procedures, and supporting real estate functions.
The responsibilities will expand over time to include light bookkeeping tasks and operational assistance. The ideal candidate should be meticulous, tech-savvy, process-oriented, and excel in a dynamic work environment that offers variety.
Key Responsibilities:
- Manage and update client and property databases with accurate information
- Develop and refine office processes and workflows
- Implement process automation solutions for enhanced efficiency
- Handle administrative tasks such as scheduling, document management, and office organization
- Create and update spreadsheets for monitoring listings, transactions, client engagements, and marketing initiatives
- Act as the main point of contact for clients, vendors, and partners, ensuring prompt and professional communication
- Support listing preparations, open houses, transaction coordination, and operational needs
- Execute the Client 36-Touch Program and manage marketing campaigns and events
- Assist with basic financial tasks and aid in the development of financial processes
Qualifications:
- Minimum 2 years of administrative experience, preferably in real estate or professional services
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace
- Experience with CRM systems or database management tools
- Strong organizational, multitasking, and time-management skills
- Excellent written and verbal communication
- Tech-savvy and adaptable to new systems and processes
- Ability to thrive in a fast-paced and team-oriented environment
- Interest in obtaining real estate licenses is a plus
